First Manhattan Co. is an Investment Management firm founded over 50 years ago. This privately held partnership is a long-only manager with $15+ billion of AUM. The firm has low portfolio turnover and emphasizes value-oriented, deep-dive fundamental research. This frequently includes face-to-face meetings with management teams, customers, suppliers, competitors and consultants, and thorough accounting-oriented financial analysis. High quality businesses at reasonable prices, strong balance sheets, a consistent track record, conservative accounting, and managements that are devoted to increasing shareholder value are important investment criteria.

The firm is comprised of 125 full time employees across investment management, research, trading, Operations, Legal/Compliance and HR. We are looking for a full-time facilities manager to replace an employee who is retiring at mid-year.


Role Responsibilities

The role is a multi-faceted one that includes components of both mailroom oversight and light facilities management.

  • Supervision of Mailroom staff (team of 4 full-time outsourced employees).
  • The role oversees Mailroom staff to ensure incoming and outgoing mail and packages are being delivered in a timely fashion.


  • Review and maintenance of supply room inventory.
  • Management of key vendor relationships, including to Paper Flow and Paper Vision (scanning/ shredding/storing of company documents). This includes reviewing vendor invoices to ensure timely payment.
  • Record Pershing (clearing) monthly statements into DXR System and Paper Vision on behalf of certain Money Manager teams.
  • Record Pershing’s tax statement into Paper Vision: Forms 5498, 1042 and 1099R.
  • Handle all office staff internal relocations – including cabinets, files, PCs, phones
  • Work with HR to ensure smooth onboarding of new hires (office cleaned, PC working, phone logged in, supplies on day 1)
  • Oversee and monitor soda machines on a monthly basis and deposit coins at the Bank
  • Handle small repairs in house before outsourcing to a 3rd party building management

Education

High School Graduate required, Relevant Trade School ideal, College graduate – not mandatory
